What you can schedule, and the rules
The in app scheduler comes with six rules. Some articles quote a longer window than 30 days; the Help Center says 30, and that is the number to plan around.
| Rule | Detail |
|---|---|
| Account | It must be public. |
| What can be scheduled | Reels, photos and carousel posts. Stories on eligible accounts, and in Meta Business Suite. |
| How many | Up to 25 posts a day. |
| How far ahead | Up to 30 days in advance. |
| Audience | Scheduled content keeps the privacy and audience settings you chose when you scheduled it. |
| Not compatible | Product tagging, collaborative posts, sponsored posts and fundraisers cannot be scheduled at this time. |
The last row matters most to brands. A collab post with a stockist, or any post with product tags, still has to be published by hand.
Scheduling in the app
- Tap Create in the top left, or swipe right anywhere in Feed, then tap Post or Reel.
- Select a photo or video and tap Next.
- Add a caption, effects or filters.
- Tap More options.
- Turn on Schedule this post, or Schedule this reel, and choose a date and time.
- Tap Done, then Back.
- Tap Schedule.
Everything else about the post, from hashtags to alt text, works the same as when you publish straight away; how to post on Instagram goes through each format. A carousel schedules like a single photo, and the Instagram carousel guide has its size rules.
Editing, moving or publishing early
There are two ways back to a scheduled post.
From your profile
- Go to your profile and tap the menu in the top right.
- Under "Your insights and tools", tap Scheduled content.
- Tap Options next to the post or Reel.
- Choose Delete, Edit post, Reschedule or Share now.
From the create screen
- Tap Create, then Post or Reel.
- Tap Scheduled.
- Select the post, tap Options, and choose what to do.
Scheduling from a computer
On a computer, Meta Business Suite does the scheduling, for posts, Reels and stories, on Instagram and Facebook together. It needs a professional Instagram account connected to a Facebook Page, which how to link Facebook to Instagram walks through.
- Open Meta Business Suite and click Create post.
- Under Post to, choose your Instagram profile, and your Facebook Page if you want both.
- Under Media, add your photos. An Instagram post from Business Suite takes up to 10.
- Write the text. You can write one version for Facebook and another for Instagram.
- Under Scheduling options, choose the date and time. Active times suggests slots based on when your followers were most active over the past 7 days.
- Click Schedule.
For a Reel, use Create reel, with two limits when the destination is Instagram: a Reel cannot be made from photos, and the video editing inside the tool applies to Facebook only, so edit the video before you upload it. Posting from Business Suite also needs full control of the Instagram account, or content permission for it.
Stories have their own steps and eligibility rules, set out in can you schedule a story on Instagram.
The app, Business Suite or a paid tool
| Option | Good for | Limits | Cost |
|---|---|---|---|
| Instagram app | One account, posting from the phone where the content was made. | Stories only on eligible accounts. No product tags or collab posts. Public accounts only. | Free. |
| Meta Business Suite | Planning a week on a big screen, posting to Instagram and Facebook together, stories included. | Meta platforms only. Reel editing for Instagram happens before upload. | Free. |
| A third party scheduler | Several platforms and several people, with approval steps and a shared calendar. | Features vary by plan. Check how stories are published before paying. | Paid, in most cases. |
For a business on Instagram and TikTok only, the free tools cover most of the need. The case for a paid tool is a team, an approval step, or more platforms. TikTok has a scheduler of its own, with different limits, in how to schedule TikTok posts.
What time to schedule for
The best answer comes from your own account rather than a chart. Business Suite's Active times reads when your followers were active over the past week, and account insights show the same pattern over a longer period. The best time to post on Instagram explains how to read those numbers, and what the published studies agree on when you have too little data of your own.
A posting schedule that lasts a year
Scheduling makes consistency easy, and it makes one mistake easy too: filling the calendar with posts nobody would miss. A schedule that lasts is built the other way round:
- Pick a rhythm you can keep for a year, not the one you can keep for a month.
- Batch once a week. Film, edit and write captions in one block, then schedule the week.
- Leave room for the week itself. Keep one slot open for something that happens: a restock, a customer question, a trend that fits.
- Check scheduled posts before they go out. A price, a date or an opening hour can change after you schedule.
- Be there when the post goes live. Scheduling publishes the post. It does not answer the comments.
Planning and scheduling a four week calendar is the core of our social media management.
How we will test this
Not run yetEverything above comes from the published sources listed below, and nothing here is presented as something we measured. Our own test on live accounts has not been run yet.
This is the test we will run: we schedule a photo post, a carousel and a Reel from our own public test account in the Instagram app, and a post and a Reel from Meta Business Suite on a computer. We record when each is published, what the scheduled content screen shows, and which features the app refuses to schedule.
Platforms change behavior without announcing it, so once the first test is run we repeat it every quarter, and this section will say when it was run and on which devices and app versions.
